Maintenance Notification

A time-sensitive notification template for informing users about scheduled maintenance windows, expected downtime, or service degradation. It prioritizes clarity, timing, and actionable next steps so users can plan around the disruption.

When to Use This Template

Deploy this notification at least 48 hours before scheduled maintenance. Show increasing urgency as the maintenance window approaches โ€” a passive banner at 48 hours, a more prominent notification at 24 hours, and an active modal 1 hour before.

Template Breakdown

48-hour advance notice

Display a subtle blue banner at the top of the app: "Scheduled maintenance on [Date] from [Start Time] to [End Time] (UTC). Some features may be temporarily unavailable." Include a link to the status page.

24-hour reminder

Upgrade the banner to a yellow warning color and add a countdown timer. Include a note about what users should do to prepare โ€” such as saving their work or downloading exports.

1-hour final warning

Show a non-dismissible modal that clearly states the maintenance will begin in 1 hour, lists the specific features that will be affected, and recommends any final actions.

During maintenance

Replace the app with a branded maintenance page that shows the expected end time, a live status indicator, and links to the status page and support email for urgent issues.

Post-maintenance confirmation

When the system is restored, show a green banner: "All systems are back online. Thank you for your patience." Keep it visible for 4 hours, then auto-dismiss.

Best Practices

  • Always provide the maintenance window in UTC and the user's local timezone to avoid confusion.
  • Offer an email notification opt-in so users who are not currently in the app also receive advance notice.
  • Never schedule maintenance during the customer's peak usage hours without exceptional justification.
  • Update the status page in real time during maintenance so users can check progress without contacting support.
  • Send a post-mortem summary if the maintenance caused unexpected issues or extended downtime.
